Choosing a system for a hotel chain or group

A chain is not ten hotels that happen to share a logo. It needs a real CRS, correct group reporting, and a commercial model that fits franchising.

The short answer

A chain needs a multi-property architecture with a central reservation system, correctly aggregated group KPIs, per-property licensing and franchise royalty billing — not a single-tenant PMS stretched across many hotels.

When a group runs more than a handful of properties, the requirements change shape. The daily front-desk work is the same at every hotel, but head office now needs to see across all of them at once, move a guest between them, and bill franchisees in a way that survives an audit. A PMS that was designed for one hotel and stretched across many will fight you on every one of these.

What head office actually needs

  • A central reservation system that can search and book across every property in the group from one screen.
  • Group KPIs — occupancy, ADR and RevPAR — re-derived from real chain totals, not averaged across properties, which quietly lies to you.
  • Rate and stop-sell pushes to many properties at once, by room type and plan.
  • Per-property licensing and module toggles, so a 20-key boutique and a 200-key flagship can run the same platform at different depth.

The franchise question

If you franchise, the commercial model is part of the software decision. Royalty billing — a percentage of a franchisee's reported gross revenue, with a floor — should be computed from the same numbers the night audit produces, not reconstructed by hand in a spreadsheet each month. Otherwise franchise finance becomes a monthly argument.
